This document provides comprehensive training on how to make reservations using Staylist.

Creating the Reservation

  1. From the main page, select the Availability Module on the top left of the screen; this will take you to the availability grid.

  2. From the availability grid, you are able to start a new reservation in two ways.

    1. Search by the duration of stay.

      1. Select the check-in date.

      2. Enter the desired number of nights.

      3. Click on the search button to see all available options for that period.

      4. OR click and drag in between the red lines to create your reservation for the selected dates

    2. Select directly off of the grid.

      1. Select your preferred start date on the grid and adjust the length of stay by dragging to the desired end date

Entering Guest Information

  1. After you select the reservation days, you will now be able to enter the guest's information. If you are unable to locate the guest by name, you will need to select "New Guest".

  2. To add a new guest's information, follow these steps:

    1. Select the "New Guest" option to start adding guest details.

    2. Navigate to the Address tab:

      1. Enter the guest's first and last name.

      2. Provide the guest's address, including Country, ZIP code, City, and State.

      3. Input the guest's contact information:

        1. Add the primary phone number.

        2. Include an alternate phone number if available.

        3. Enter the guest's email address.

    3. For additional details or notes about the guest:

      1. Use the "Add Contact Notes" text box to record any further information you wish to note.

  3. Once you've filled out the contact information in the address tab, proceed with the following steps in the Rig tab:

    1. Select the "Rig" tab to continue.

    2. Choose the Rig Type by using the drop-down menu provided.

    3. Enter the Rig Length in the designated field.

    4. Specify the number of Slides the rig possesses.

    5. Input the Make, Model, Year, and VIN number of the rig in their respective fields.

  4. To add information about additional members, follow these steps after reaching the Members tab:

    1. Click on the "+ Add" option to begin adding a new member.

    2. Enter the name of the additional member in the provided space.

    3. From the relationship dropdown menu, select the relationship that best describes the connection between the primary guest booking the site and the new member.

    4. Use the age dropdown to select the age range that applies to the new member.

    5. (If your park uses RFID/QR wristbands) If the member has a wristband, you can enter the wristband number, associate a card with it, and specify the allowance amount for the wristband.

  5. After entering all additional members, proceed with the vehicle information as follows:

    1. Click on the "Vehicles" tab.

    2. Begin by clicking the "+ Add" button to initiate the addition of guest vehicle information.

    3. Enter the vehicle's label.

    4. Type in the plate number and select the state where the plate is registered.

    5. Provide details of the vehicle, including its make, model, and color.

  6. To check a guest's membership status, follow these steps in the Memberships tab:

    1. Go to the "Memberships" tab.

    2. Note that Staylist integrates with Good Sam and FMCA memberships.

    3. If the guest possesses a membership with either, you can verify its activity:

      1. Input the guest's membership number into the designated field.

      2. Enter the expiration date in the field labeled "Exp."

      3. Click on the magnifying glass icon to execute the search for the membership status.

  7. To finalize guest details, use the following steps in the Custom tab:

    1. Navigate to the "Custom" tab.

    2. Determine if the guest has a trailer:

      1. Check the box next to "Have Trailer?" if applicable.

    3. If the guest has a trailer, enter its size in the specified field.

    4. Add any notes regarding pets the guest may have.

    5. If your park requires a parking pass:

      1. Enter the parking pass number as part of their reservation.

Adjusting Reservation Options

  1. On the right side of a reservation, there are various settings available for customization. These include adjusting the price of the stay, the number of guests, applying discounts, adding charges, selecting add-ons, and modifying other additional options.

    1. First, you are able to edit the price of each night within the reservation. To do so, enter the desired amount for each day and select “Apply” when done.

  2. Following that, you can alter the count of guests, distinguishing between adults and children. Adjust their numbers by using the "-" or "+" buttons beside the respective boxes for adults or children.

  3. Within the Discounts option, you are able to apply an existing promo code from the drop-down. Also, you can apply a discount based on a percentage or a flat rate. Select Apply when done.

  4. Next, you can add any additional charges to the reservation.

    1. By selecting the Charges option, you will see the required charges set within your account, along with any additional optional charges.

    2. By selecting the + Add a Charge dropdown, you will see a list of the charges that you have created within your account. Here you can select them to be added to a reservation

    3. Note the box next to the added charge will appear purple if applied.

  5. If the guest wishes to have an addon, within the addons tab, you can select what they wish to add from the dropdown menu (as seen in picture a.). In this case, I will be selecting a kayak. It will then ask you to select the days or timeslot for the addon (as seen in picture b.).

  6. In the Options tab, you can make selections for the following:

    1. Whether a confirmation email should be sent.

    2. If the guest will be bringing their own golf cart.

    3. A referral option via a dropdown menu.

  7. Lastly, before completing the reservation, you have the option to edit the Deposit Due. To do this, select the amount shown under Deposit Due and manually enter the amount.

  8. After selecting Reserve, if there is a payment due at the time of creating the reservation, you will be directed to a Reservation Payment screen. Here you will select the type of payment received. Select Process Payment to complete the transaction.
